HVAC adds a wrinkle the other trades don't have: maintenance agreements. We ranked the tools on how well they handle recurring service, plus the usual dispatch, invoicing and getting-paid basics.
By the TradeStack Review editorial teamPricing checked Oct 2026
Maintenance agreements are the HVAC wrinkle: the tool has to auto-schedule spring and fall visits, bill the plan and flag members who lapse.
How this page is funded: some links here are affiliate links — if you start a trial or subscribe through them, the vendor pays us a referral fee. It costs you nothing extra. QuoteIQ is our featured partner: if you sign up through our links we earn a commission, at no extra cost to you. QuoteIQ is featured as our top pick and is also our featured affiliate partner; the rest of the order comes from our review, not payouts. Full disclosure.
The verdict
Most small HVAC shops should start with QuoteIQ — AI estimating that drafts quotes from a description or photos, recurring visits for maintenance plans, flat published plans from $29.99/mo for one user and a 14-day free trial. Choose Jobber if you want the cleanest customer experience and published pricing up to 15 techs. Housecall Pro is the pick if online booking drives your calls; ServiceTitan only makes sense once you're a large shop with office staff to run it.
Starting price is the vendor's published monthly rate for the entry plan, checked Oct 2026. "Quote only" means the vendor won't show a price without a sales call.
The picks, in order
1. QuoteIQOur pick
Buy it if: you run 1–10 HVAC techs, sell maintenance visits and want quotes and scheduling in one app at a flat published price.
QuoteIQ is the tool we'd start most small HVAC shops on. The AI Estimator drafts line items and pricing from a description or photos, and Package and Options estimates suit tiered repair-or-replace quotes the homeowner can pick from and sign on their phone. Customer financing through Stripe or Whop is listed from the Essentials plan, which helps on system replacements. We've used QuoteIQ; treat the AI draft as a first pass and check equipment, quantities and local costs.
For maintenance agreements, the shared calendar books recurring visits and lets you edit a single occurrence, so spring and fall tune-ups are scheduled once. Recurring invoices cover the plan billing. Pricing is flat and published: Essentials $29.99/mo for one user, Pro $199.99/mo for four, extra users $25/mo (see QuoteIQ’s pricing page).
Where it falls short: QuoteIQ says itself it is weaker than ServiceTitan on membership and service agreements tied to equipment and on technician scoring. Online booking and route optimization need Elite at $299.99/mo, QuickBooks sync is Online-only from Pro, and AI and texting draw on IQ Credits that can cost extra. Our full QuoteIQ review covers the rest.
What we liked
Recurring visits with single-occurrence edits
Financing and tiered estimates for replacements
Flat, published plans and a 14-day trial
What we didn't
No agreements tied to equipment records
Online booking and routing need Elite ($299.99/mo)
QuickBooks Online only, from Pro up
2. JobberBest client experience
Buy it if: you run 1–15 HVAC techs and want to be live by Monday without a sales call.
Jobber does the boring stuff right. Quotes go out from the truck, the customer approves on their phone, the job lands on the calendar, the invoice follows the job, and the card gets charged. The customer-facing side — the booking link, the "on my way" text, the review request — is the cleanest of the five.
Where it falls short: call tracking is a paid add-on, and past 15 techs you're into custom pricing like everyone else.
What we liked
Self-serve signup, live the same day
Cleanest customer booking and texts
Published pricing up to 15 techs
What we didn't
Call tracking costs extra
Reporting is thin past basic job profit
Custom quote over 15 techs
3. Housecall ProBest for online booking
Buy it if: homeowners find you on Google and you want them booking without picking up the phone.
Housecall Pro is built around the homeowner's first touch. Online booking syncs to Google, review requests and email campaigns are included rather than upsold, and consumer financing sits right in checkout. It's the only one here that publishes per-user pricing well past a tiny crew.
The trade-off: the dispatch board is busier than Jobber's and the add-on list gets long.
What we liked
Booking, reviews and campaigns included
Financing built into checkout
Public per-user pricing as you grow
What we didn't
Busier dispatch board
Long list of paid add-ons
US & Canada only
4. WorkizBest for call-heavy shops
Buy it if: the phone is your business and you need to know which ad made it ring.
Workiz is the phone-first option. Native call tracking ties each incoming number to the job and the ad that produced it — something the other two only do through add-ons. The catch is you can't see a price without a sales call, and the phone features are their own paid tier.
What matters for hvac
The HVAC-specific question is maintenance agreements: can the tool auto-schedule the spring and fall visits, bill the plan, and flag lapsed members? Jobber and Housecall Pro both do recurring jobs well enough for a small shop; ServiceTitan does it at an enterprise level (and price). Seasonality also makes call tracking valuable — when you spend heavily on summer AC ads, knowing which campaign produced booked jobs is the difference between scaling and guessing. That's Workiz's strength.
How to choose by crew size
HVAC shops grow in seasons, not months. Pick the plan that fits the crew you run in January and check what the summer headcount will cost.
Solo HVAC tech
QuoteIQ Essentials at $29.99/mo is the lowest published single-user price on this page and covers estimates, scheduling with recurring visits, invoices and online payments. Jobber Core at $49/mo is the alternative and handles recurring visits for a small book of maintenance customers. Housecall Pro Basic at $79/mo adds online booking that syncs to Google. If you are deciding whether you need software at all yet, start with software for a one-person shop.
2–5 trucks
QuoteIQ Pro at $199.99/mo covers four users with "On The Way" texts, job costing and QuickBooks Online sync; extra users are $25/mo. Jobber Connect from $139/mo covers up to 15 users; Housecall Pro Essentials is $189/mo for up to 5. This is the size where maintenance-plan billing and the dispatch board start to matter daily. Jobber vs Housecall Pro compares both on exactly that.
6–15 trucks
QuoteIQ Elite at $299.99/mo covers ten users and adds online booking, route optimization and inventory by truck. Jobber Grow from $199/mo keeps you on a published price to 15 techs. Housecall Pro Max is $329/mo to 8 users, then per-user. If summer AC ads drive the business, Workiz's built-in call tracking is worth a sales call; see Jobber vs Workiz.
15+ trucks
ServiceTitan handles maintenance agreements at an enterprise level and an enterprise price, with a setup measured in weeks. Housecall Pro vs ServiceTitan is the comparison to read before you book the demo.
What it costs in year one
The published prices on this page multiplied by twelve. Card processing, the paid call-tracking add-on on Jobber and Housecall Pro, and other add-ons are extra. QuoteIQ, Jobber and Housecall Pro all offer a 14-day free trial (QuoteIQ asks for a card to start), and QuoteIQ's AI and texting use monthly IQ Credits that can cost extra.

Features that matter for HVAC
Maintenance agreements and recurring visits
The tool has to auto-schedule the spring and fall visits, bill the plan and flag members who lapse. Jobber and Housecall Pro both do recurring jobs well enough for a small shop; ServiceTitan does it at enterprise depth and price.
Call tracking for seasonal ad spend
When you spend heavily on summer AC ads, knowing which campaign produced booked jobs is the difference between scaling and guessing. Workiz builds call tracking in as a paid tier; Jobber and Housecall Pro sell it as an add-on.
Financing in the checkout
System replacements are big tickets. Housecall Pro puts consumer financing right in checkout, which can turn a repair quote into a replacement sale without a separate application.
Reporting past job profit
Jobber's reporting is thin beyond basic job profit, which is fine at three trucks and limiting at twelve. If you need to see margin by plan type or technician, that is one of the reasons larger shops end up at ServiceTitan.
How we tested
Same week of work in every tool — quotes, dispatch, reschedules, invoices and two chargebacks — scored on setup time, taps to close a job from the truck, what the customer sees, and whether the vendor shows a price without a sales call. QuoteIQ was added after that test week as our featured partner and a tool we've used ourselves. Pricing re-checked monthly. How we make money.
HVAC software questions
What is the best software for a small HVAC company?
For most small HVAC shops, QuoteIQ: AI estimating, recurring visits for maintenance plans and flat published plans from $29.99/mo with a 14-day free trial. Jobber, from $49/mo, has the cleanest customer experience. Housecall Pro is the pick if online booking drives your calls; ServiceTitan only makes sense once you are a large shop with office staff.
Which HVAC software handles maintenance agreements?
Jobber and Housecall Pro both handle recurring jobs well enough for a small shop: auto-scheduled spring and fall visits, plan billing and lapsed-member flags. QuoteIQ books recurring visits and recurring invoices, though it does not tie agreements to equipment. ServiceTitan does the same at an enterprise level, with the price and setup time to match. Workiz's strength is call tracking rather than plans.
How much does HVAC software cost?
Published entry prices on this page are QuoteIQ Essentials at $29.99/mo, Jobber Core at $49/mo and Housecall Pro Basic at $79/mo. Multi-user tiers run from $139/mo for Jobber Connect, $189/mo for Housecall Pro Essentials and $199.99/mo for QuoteIQ Pro (four users). Workiz, ServiceTitan and FieldPulse quote only after a sales call. Call tracking is an extra on Jobber and Housecall Pro.
Is call tracking worth it for an HVAC shop?
If you run paid ads in peak season, yes. Call tracking ties each ring to the ad that caused it, so you can move budget to the campaigns that book jobs. Workiz builds it in as a paid tier. If your work is referrals and maintenance renewals, skip the add-on.
When does an HVAC shop need ServiceTitan?
At 15 or more techs, with office staff to run it and weeks to set it up. Below that, QuoteIQ, Jobber or Housecall Pro covers maintenance plans, dispatch and payment at a fraction of the cost. Read Housecall Pro vs ServiceTitan before booking a demo.
Not sure which one to pick?
For most small shops our top pick is QuoteIQ — AI estimating, scheduling and invoicing on flat plans from $29.99/mo, with a 14-day free trial.
